A monthly bookkeeping workflow that holds up.

The best process is one your firm will actually use. Start with clear ownership, ask for missing information early and make waiting visible.

Four steps in a monthly bookkeeping cycle Four distinct checkpoints follow a smooth curve from planning through a request and review to a completed check mark.

1. Give each month its own job.

Create a project for the client and period. A name such as “August 2026 bookkeeping” gives everyone an unambiguous place to work. Record who owns the job and when it needs to be reviewed.

2. Write down the steps you repeat.

Most firms have a familiar sequence: confirm statements, review uncategorized transactions, reconcile accounts, inspect unusual balances, prepare reports and complete a second review. Make the list reflect how your firm works, then adapt it for each client.

3. Name one owner for each handoff.

A task that “the team” owns can sit untouched. Give each step a person and a useful due date. When a task needs review, make that handoff visible too.

4. Ask for missing information early.

Request the exact statement, report or explanation you need. Include the account or transaction, the period and the date you need it. Keep the reply with the request so the next person understands the answer.

5. Review waiting work twice a week.

Separate tasks your team can finish from items waiting on a client. When the answer arrives, assign the next action. This is where many month-end processes quietly stall.

6. Close the loop.

Review the job against your firm’s standards before completing it. Note which step should change in next month’s template. A useful process gets a little better each period.
